SarathiLink Privacy Policy

What SarathiLink collects about drivers, office staff and companies, why, and your choices. Written for Canadian privacy law (PIPEDA) and Quebec's Law 25.

Who is responsible

SarathiLink is run by AstroRasa Inc.. For information a trucking company puts in SarathiLink about its own people and loads, that company decides what is collected and why; we handle it on its behalf (see the Data Processing Agreement). For our own customers' contacts, the website and billing, we are responsible.

What we collect

We do not collect payment card numbers ourselves (our payment processor does), and we do not sell personal information or use it for advertising.

Why we use it

To run SarathiLink for the trucking company: dispatching loads, showing the driver their work, alerts, paperwork, border status, pay requests, reports; to keep accounts secure; to give support; to bill companies; and to meet legal obligations.

Where it is kept

SarathiLink's database and files are hosted in Canada (Montreal). Some service providers below work from the United States or elsewhere, so some information (for example an email address to send a sign-in code, or a stop address to find it on a map) may be processed outside Canada, where local authorities may be able to access it under their laws.

Services a company connects itself (Samsara, BorderConnect, its fuel card, its dispatch software) are under that company's own agreement with them.

Who can see what

Each company sees only its own information; this is enforced in the database. Drivers see their own loads, messages and records, not other drivers'. Office staff see what their role needs.

SarathiLink's own staff do not browse companies' loads, messages, documents or locations. Our platform console shows counts only (for example how many trucks a company has). We access a company's data only when the company asks us to help, or when the law requires it.

How long we keep it

Location points: 90 days. Truck positions and hours from an ELD: only the latest. Other information: while the company's subscription is active, then 30 days for export and deleted within a further 60 days, unless the law requires longer (for example billing records). A driver can delete their own account in the app (More → Privacy & your data); their personal details go, while the company keeps its trip records.

Your rights

You can ask to see, correct or delete your personal information, to withdraw consent (for example to location sharing), or to receive your information. Drivers and staff should normally ask their company first, since the company manages their records; you can also write to privacy@sarathilink.com and we will help or pass your request to the company. We answer within 30 days.

In Quebec, you also have the rights given by the Act respecting the protection of personal information in the private sector (Law 25), including to be informed of automated decisions and to data portability.

If you are not satisfied, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, in Quebec, the Commission d'accès à l'information (cai.gouv.qc.ca).

Security

Information travels encrypted (HTTPS) and is stored encrypted by our hosting provider. Access is limited by company and role, keys to connected services are never sent back to the apps, and changes are logged. If a breach creates a real risk of significant harm, we will tell the companies and people affected and the regulators, as the law requires.

Website

sarathilink.com does not use advertising or tracking cookies. The web apps keep you signed in using your browser's storage.
